Job Description

### Why This Role Exists

We don’t need a typical administrative assistant.

We need someone who ensures the Co-Founder’s day runs smoothly, operations stay on track, and nothing falls through the cracks.

This role sits at the center of leadership support, operational efficiency, and stakeholder communication—directly impacting decision-making, team alignment, and business execution.

### What You’ll Be Responsible For (Outcomes)

You manage and optimize the CEO’s calendar

→ Priorities, meetings, and deadlines are coordinated efficiently and without conflicts

You act as a trusted point of contact

→ Internal teams and external stakeholders experience clear, professional, and timely communication

You ensure follow-through on deliverables

→ Tasks are tracked, deadlines are met, and nothing is overlooked

You prepare, review, and manage critical documents

→ Agreements, reports, and internal communications are accurate, organized, and ready when needed

You streamline operations and research proactively

→ Information is gathered, organized, and presented to support decision-making

You coordinate meetings and communications

→ Appointments, confirmations, and updates are handled without delays

You handle sensitive information responsibly

→ Confidentiality and professionalism are maintained at all times

You support additional initiatives as needed

→ Social media management, team coordination, or ad hoc projects are executed efficiently

### What You’ve Done Before

* 5+ years of experience as an Executive Assistant or in a similar role (non-negotiable)
* Proven experience supporting C-level executives (CEO, Founder, or similar)
* Strong experience in calendar management, client communication, and document preparation
* Excellent written and verbal communication skills
* Highly organized with strong attention to detail and follow-through
* Ability to multitask, prioritize, and adapt in fast-paced environments
* Proficiency in Google Workspace and ability to quickly learn new tools

### Who You Are

Proactive — you anticipate needs and act before being asked

Detail-oriented — you catch what others miss

Solutions-driven — you find ways to make things happen

Highly organized — you keep multiple priorities and projects on track

Professional — you maintain confidentiality and clear communication

Adaptable — you thrive in fast-paced, dynamic environments

### Who This Is NOT For

This is not a fit if your experience is primarily:

* Administrative support without direct C-level exposure
* Project coordination without ownership or independent problem-solving
* Roles where calendar management, stakeholder communication, or document prep were minimal
* Reactive assistants who wait to be told what to do

### What Success Looks Like

* The Co-Founder’s day runs efficiently with priorities clearly managed
* Internal and external stakeholders experience smooth, professional communication
* Deadlines and deliverables are consistently met without reminders
* Documents, reports, and information are accurate, organized, and ready when needed
* Operations flow smoothly, and ad hoc tasks are executed proactively

## Requirements

Minimum Technical and Work Environment Requirements:

* Internet Connection:
* Primary internet connection with a minimum speed of 15 Mbps.
* Backup internet connection with at least 10 Mbps.
* Backup connection must be capable of supporting work during a power outage.
* Primary Device:
* Desktop or laptop equipped with at least:
* Intel Core i5 (8th generation or newer), Intel Core i3 (10th generation or newer), AMD Ryzen 5, or an equivalent processor.
* A minimum of 8 GB RAM.
* Backup Device:
* Must meet or exceed the performance of an Intel Core i3 processor.
* Must be functional during power interruptions.
* Peripherals and Workspace:
* A functioning webcam.
* A noise-canceling USB headset.
* A quiet, dedicated home office space.
* A smartphone for communication and verification purposes.
