Description:

The Administrative Assistant is responsible for overseeing office operations supporting staff needs and ensuring a safe efficient and wellmaintained workplace. This role provides essential support across office equipment management facilities coordination employee onboarding administrative tasks and general staff services.

Key Responsibilities:

Office Equipment & Breakrooms

• Order and maintain office supply inventory.
• Support special supply or equipment requests for individual employees.
• Oversee breakroom upkeep and restocking.
• Submit and monitor printer maintenance and service requests.

General

• Schedule safety meetings and track attendance.
• Coordinate lunch orders for meetings and events.
• Manage conference room bookings and ensure room readiness.
• Handle facility-related requests and follow-up with appropriate teams.
• Maintain the self-inspection book and conduct quarterly office walkthroughs in alignment with Safety requirements.

Staff Support

• Assist with contract employee support (background checks Badges EIDs equipment)
• Assist with new employee onboarding (equipment workspace security setup etc)
• Assist with expense reports
• Rose Award management
• Time administration
• Access request assistance for directories and software
• Manage mass/group email lists/distributions.
• Proof reading agreements or other documents

Please note: Successful applicants will be employees of Raise working at Enbridge facilities with both Enbridge and contract employees.
